SUMMARY:
The Financial Aid Officer provides high level customer service at all times to prospective students and students regarding the financial aid process for online programs. Assists with gathering information on potential students to ensure a trouble-free student financial aid and processing system; presents initial financial aid package, and performs routine clerical, office and data entry tasks. Adheres to Associate Expectation Agreement, established department policies and procedures, and excellent customer service standards in accordance with the mission and purpose of the organization.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Adheres to Associate Expectation Agreement, established department policies and procedures, and ensures timely customer service of current and potential students for West Coast University.
Communicates with prospective students to review required forms and applications needed for FA file. Reviews documents for completion and accuracy before accepting from students. Scans and links submitted forms into electronic student file in Image Now. Updates data in Campus Vue and CLA appropriately based on information received.
Calculates estimated financial aid award in accordance with federal, state, and institutional rules and regulations; explains University costs, aid eligibility and gap financing options, and explains the ongoing financial aid process.
Assists student and parents with directions for requesting FSA User IDs, and online completion of FAFSAs (Free Application for Federal Student Aid), MPNs (Master Promissory Notes), online student loan entrance and exist counseling, and other forms required by the University.
Counsels veterans on Title IV aid eligibility and services available.
Represents Financial Aid Office at online Orientation or Open House events, as requested by Director, Financial Aid Online.
Follows up with students regarding any missing or additional documents needed, including new FAFSA application for subsequent year packaging. WCU Financial Aid Officer Page 1
Accurately and completely answers questions, inquiries or requests from students, or parents, via phone or in writing regarding financial aid programs, eligibility and financial aid policies and procedures.
Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time-off is recorded properly.
Conducts job responsibilities in accordance with the standards set out in the University’s Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and state laws, and applicable professional standards.
Maintains established department policies, procedures and attends in-services and other required meetings.
Maintains confidentiality of all student, associate, and/or university information as required.
Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
Maintains order, cleanliness and safety at work.
May perform other duties as assigned.

EDUCATION:
Bachelor’s Degree required.

LICENSES/CERTIFICATIONS:
Current Driver’s License.
May not be in default on a federal loan or owe repayment of a federal grant.
Consent to audio and video record student financial aid appointments and overviews for training and quality assurance purposes required

KNOWLEDGE/EXPERIENCE:
At least one year of experience in a customer service related position required.
Experience in college Financial Aid a plus.
Bilingual English and Spanish a plus.
