UCF Administrative Assistant III for Student Financial Assistance (Job #500442)
Preferences: The preferred candidate will be organized, and detail oriented with excellent communication skills. This person should be proficient in Microsoft Office (Word, Excel, Power Point, etc.), have the ability to multi-task and adapt easily to new situations.
Provides coordination and support for the general day-to-day administrative, clerical, and operational tasks. This position is responsible for the creation and processing of purchase orders, HR processes including payroll, reporting, event planning, office manager, facilities liaison, as well as assistance to staff, students, and visitors. This position/ classification may be moved at management's discretion within SDES division to a commensurate level position as determined by the Vice President of SDES or his/her designee.
Compiles and analyzes data for administrative decisions and resolutions of problems for the Director of Student Financial Assistance and other administrative staff.
Prepare and manage accurate online payroll certification for hourly and salaried employees including the collection, processing and auditing of leave forms (full-time), timesheets, as well as appropriate appointment pay forms.
Responsible for new hire packets for OPS and Federal Workstudy students. Coordinates the payroll and general processing of paperwork for the off-campus Community Service student employment program.
Assist Accounting area with research and reconciliation of operating expenses as needed.
Download payroll reports for expense tracking and salary projections by Accounting.
Schedule annual or monthly recurring operating expenses and communications with vendors.
Maintain and track office records, expenditures, budgets and calendars, collect, compile and enter data, prepare, edit, revise and send correspondence, operate standard office equipment (copier/fax machine/scanner), order and inventory supplies and promotional items, as well as process of requisitions, invoices, and other requests.
Handles routine matters, maintains calendar and schedules appointments for the Director of Student Financial Assistance and other administrative staff.
Organize, coordinate and facilitate meetings, conference calls and other special events including scheduling, making travel arrangements, venue arrangements and set-up, agenda preparation, attendance verification, as well as taking and publishing meeting minutes.
Assess the operational needs of the office and coordinates equipment purchases, materials and maintenance of office equipment. Reconciles purchases and encumbrances to the operating budget.
Maintain accurate databases of all active departmental staff, including current emergency contact information.
Attends professional workshops, meetings, and training sessions to assure adequate professional development and keep abreast of current rules and regulations.
Performs other appropriate duties as assigned.
Some evening and weekend hours may be required.
Annual Salary: $42,367.00 – Negotiable
Posting dates: May 17, 2021 eastern daylight time – June 3, 2021 eastern daylight time
Hours: Monday through Friday 8am to 5pm, some evenings and weekends may be required.
