Job Summary: Join the Financial Aid and Scholarships team at a “Great College to Work For” on the beautiful UWF campus just minutes from the beach. The associate director will earn 7 hours of annual leave and 4 hours of sick leave on a biweekly basis, equating to 22 days of annual leave plus 13 days of sick leave per year. In addition to paid leave, you will receive 8 paid holidays plus a paid winter holiday break from Dec. 24 through Jan. 1. The associate director will also have the opportunity to choose between a variety of retirement plans and select from affordable healthcare insurance plans.

Reporting to the Director, the Associate Director is responsible for many of the administrative functions for the Office of Financial Aid & Scholarships. This includes, but is not limited to, oversight assistance with reporting requirements, monitoring of Banner Financial Aid Student System, development and maintenance of policy and procedures, and daily office processing to include being the point of contact for CMD and Argo Central. Incumbent must be confident with interpreting rules and regulations in order to effectively execute actions office-wide. Use professional, internal, or external resources to research unanswered questions or search for information as needed. Under guidance and collaboration with the Director, the Associate Director serves as a primary compliance officer for Title IV federal aid and state regulations. The Associate Director assists the Director and Assistant Director with maintenance, testing, implementation, and updates of technical services. The incumbent provides exceptional customer service to all internal and external constituents and provides necessary training and updates to ensure accurate processing. As a primary member of the leadership team, staff support, promotion of student centered practices, and handling sensitive or complex student cases are essential. The Associate Director assists in providing leadership and direction and is the primary supervisor of our financial aid coordinators. Independently and in collaboration with leadership and office team members, adjust policies and procedures for office efficiency or any changes needed (e.g., regulation changes). Confidently and professionally represents the department and serves on various department and university committees along with providing financial aid presentations as necessary. Some travel to workshops, conferences, and professional development is required.

Minimum Qualifications: Masters degree in an appropriate area of specialization and four years of appropriate experience; or a bachelors degree in an appropriate area of specialization and six years of appropriate experience.

Preferred Qualifications: Strong communication skills (oral and written); proven leadership skills; strong analytical skills; organizational skills; strong customer service skills, strong technical knowledge, strong training skills and the ability to handle conflict or confrontational situations; ability to make independent decisions, multi- task, balance priorities, and take initiative. The successful candidate will have experience with Banner Student System (specifically Banner 9); previous training and supervision of staff; strong planning and organization skills and the ability to work independently and as part of a team to meet goals and deadlines. Extensive knowledge of federal regulations with the confidence to accurately interpret and make decisions that impact departmental processing. Incumbent requires ability to independently transfer interpretation of federal regulations or apply regulation changes to implement procedural action and train staff accordingly. Incumbent has the ability to utilize group meetings as opportunities to independently absorb the necessary information to learn UWF’s processes to include technical and procedural operations.

Work Hours: 8:00 a.m.-5:00 p.m., Monday-Friday
Salary: $67,000.00

Essential Functions/Job Duties: 40% - In conjunction with the Director and Assistant Director, incumbent is a primary party responsible for reporting requirements, ensuring financial aid automated processes are properly functioning (e.g., ISIR import, tracking, packaging, etc.), and the daily flow of office activities. This includes maintaining and creating policy and procedure, interpreting federal and state rules and regulation, training, banner system review, supervision, and being a contact for CMD and Argo Central. Conduct research through federal, state, and institutional publications and websites, contact with personnel at the state and federal level, and contact with various offices on campus in order to accurately perform job functions. User knowledge of the Banner Financial Aid Student System to include utilizing Ellucian resources to research questions. Incumbent acknowledges any office problems, updates policy or procedures due to changes (regulation or other), monitors automated processes for errors and complete data requests as requested by campus community or outside agencies. Provide input into the strategic direction of the department and recommend employment decisions. - (Essential)

40% - Responsible for the supervision and training of full time staff members. This includes ensuring that they have the knowledge and resources necessary to perform their duties, assisting them with any questions, problems, or concerns they may have regarding job functions. Responsible for cross training to ensure job functions can be completed in the event of absence. Direct supervision, support, and guidance to all staff members with questions, problems, training needs, conflict, and workload issues. Either assist them personally or provide guidance to internal or external resources that will assist. Provides updates to the Director on personnel issues and implementation of process or procedural changes. - (Essential)

10% - Collaborate with the Director, other departments, and staff members to ensure good working relationships and accurate information is being disseminated regarding financial aid. Confidently represent the OFAS on committees, working groups, or task forces. A primary party responsible for creating and presenting financial aid information and participation in workshops. Serve as primary contact with CMD, our third-party servicer for phone communications (and tickets subsequently submitted). - (Essential)

5% - Provide financial aid advising and counseling to students and parents. A primary contact and respondent to student concerns or issues referred by external parties. - (Essential)
