Job Description: This position is responsible for the coordination and management of private (External and UCF Foundation funded), institutional, federal scholarships, undergraduate admission scholarships, waiver programs, and graduate fellowships.
Responsible for the oversight of UCF and non-UCF (external) scholarships; awarding of Undergraduate Admissions merit scholarship and waiver programs, AcademicWorks scholarship data management system, directing, maintaining, and controlling all automated systems; funds management; policy interpretation and implementation; eligibility criteria review; receipt selection procedures; fiscal controls; program information dissemination to students, parents, high schools, and state colleges; reporting and analysis requirements; and program research.
Responsible for supervising one Senior Financial Aid Coordinator and two Financial Aid Coordinators who handle governing awarding, funds management and reconciliation of university, UCF Foundation, and external scholarships.
Shares with the Associate Director the responsibilities for the administration of all university, UCF Foundation, and external scholarships. May function for the Associate Director in his/her absence. The responsible individual is required to possess a thorough working knowledge of federal, state, and institutional regulations governing the awarding and disbursement of financial aid.
Assists the Associate Director with reporting requirements, liaison to the systems area, and implementation of design and re-design of financial aid automated systems in regards university, UCF Foundation, and external scholarships. Completes other duties as assigned.
Funds Management: Supervises all Scholarship/Fellowship programs to ensure adequate funding has been received for scholarship awarding. Ensures the timely and proper refund of scholarship funding to donors and departments. Monitors all scholarship programs to ensure timely awarding, disbursement, and cancellation. Works closely with the accounting area for proper reconciliation processing and timely resolution for all reporting deadlines.
Oversight of institutional hold listing reports (i.e. cancelling aid that cannot disburse or resolving holds that prevent aid from disbursing)
Oversight of comprehensive communications (oral and written) regarding scholarships matters to donors, UCF Departments, and UCF Foundation.
Works with UCF Departments in establishing new scholarship programs; reviews new program award criteria to determine if award is a scholarship or payroll stipend. Directs UCF Departments to the appropriate office if the payment does not represent financial aid.
Represent the Scholarship area as a member of the Administrative team of managers.
Works with the College of Graduate Studies and monitors the awarding process for Graduate Fellowships.
Provides oversight of the Knights Opportunity Scholars Awards, Black and Gold Scholarship and other campus based programs.
Provides oversight regarding adjustments for overawards and overpayments within the PeopleSoft system. Works with private donors, UCF departments and the UCF Foundation to ensure compliance and timely receipt of funds.
Coordinates with other staff the revision and establishment of business processes as needed within PeopleSoft and office management.
Provides advice and counsel to students and parents on all aspects of the financial aid process.
Attends meetings and workshops and maintains appropriate knowledge of federal, state and institutional rules and regulations regarding financial aid.
Assists with financial aid outreach functions both off and on campus.
Responsible for maintenance of Scholarship P&P and Scholarship Manual.
Has oversight of the A2O System.
Minimum Qualifications : Master’s degree in an appropriate area of specialization and two years of appropriate experience; or a bachelor’s degree in an appropriate area of specialization and four years of appropriate experience.

Preferences: The preferred candidate should have excellent organizational and program management skills, strong computer skills, including Excel, relational-database expertise, and PeopleSoft experience.
Recent financial aid experience working in an aid office.
Previous supervision skills would be a plus.
The ideal candidate will be multi-task and detail oriented and able to easily adapt to various situations.
This position also needs a person with excellent oral and written communication skills to perform daily interaction with students, parents, high schools, other university departments, and the Florida Department of Education.
They also should be willing to work a flexible schedule as needed.

Annual Salary $48,054.00 to Negotiable.
Work Schedule: Monday through Friday 8 a.m. to 5 p.m. Occasional evenings and weekends are required.
