ORGANIZATIONAL SUMMARY:

The Office of Financial Aid is responsible for coordinating and administering all student financial assistance awarded to USF students, in compliance with Federal, State, and Institutional regulations and guidelines. The office is the main point of contact for all financial aid program information for current and prospective students and parents. The office is responsible  for: coordinating and managing the awarding and disbursement of over $480 million in financial aid funds on an annual basis; interpreting changes to federal, state, and institutional regulations and translating the effect/impact to students  and parents in a manner they can understand, particularly first generation students; providing an array of financial aid support options for  students and their families; and providing oversight to monitor the entire process to ensure institutional compliance with federal and state laws and regulations. The Office of Financial Aid also provides financial education programs to the undergraduate student population. The financial education program supports the University's Strategic Plan by successfully implementing one of the strategic goals--by supporting activities that result in retention and graduation at higher than externally predicted rates, employment or admission to graduate or professional schools at specified rates, lower-than-average student loan debt loads, and higher-than-average satisfaction when compared to peer institutions. **This position is required to access information and reports in the National Student Loan Data System (NSLDS) and must not be in default on Title IV student loans.

POSITION SUMMARY:

This position is responsible for providing administrative support to the Assistant Director of Financial Education and Outreach Programs. Coordinates processing of student assistant hiring with Human Resources. Assists with securing on campus rooms for outreach events. Purchases all office supplies and promotional items based on allocated annual budget with oversight by the Assistant Director. Submits completed student loan contact forms to federal loan servicers on a weekly basis as students complete online and in person student loan exit counseling. Assists with the processing of student loan delinquency outreach.

SPECIAL REQUIREMENTS:
Must be able to access information and reports in the National Student Loan Data System (NSLDS) and must not be in default on Title IV student loans.

RESPONSIBILITIES:

Assists with providing statistical reports on program services(compiling survey results, tracking participant numbers, etc.) by navigating Microsoft Excel and Qualtrics, an online survey software.  Schedules coaching sessions with peer financial educators and staff members using MS Outlook and Setmore, an online appointment scheduling software..

Assists with conducting outreach to student loan borrowers who are in jeopardy of defaulting on their student loans by completing skip trace reports sent by student loan servicers. Extracts data from Banner BDMS of completion of federal requirement.  Utilize Banner and the National Student Loan Data System (NSLDS) to extract confidential information including social security numbers, student loan borrowing amount, and mailing address.

Process recruitment paperwork, set-up interviews, and complete hiring paperwork for Peer Financial Educators (student workers).  Assist in on-boarding new student workers.

Process purchasing requests for promotional items, office supplies, and food services.  Keeps track of all documents and purchases made on an annual basis from office budget.  Search and/or negotiate competitive deals on all purchases.

Coordinate room reservations for on-campus outreach events and training.

Provides other administrative support to the assistant director and team manager as needed or assigned.

MINIMUM QUALIFICATIONS:

This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.

PREFERRED QUALIFICATIONS:

Associate's Degree and one year of experience managing an office. Microsoft Office skills. Excellent organizational, verbal, and writing skills.
