Position Summary: The position of Assistant Director – Financial Aid Systems is an essential position within the Division of Enrollment Management and Marketing. This position requires financial aid experience combined with a technology acumen and provides technical support for the timely awarding, auditing, and reconciling of financial aid awards. It also includes the mass packaging of all aid, ensuring compliance and promoting the enrollment objectives of the University. This position is also responsible for developing new code and modify existing reports to support management and external data requests. In addition, this position takes the lead on all financial aid system set-up including but not limited to the evaluation and testing of all updates, patches and system modifications to ensure efficiency and compliance.

Essential Job Functions and Responsibilities: Employment duties will include, but not be limited to:
• Work with EDConnect and TD Client to ensure the daily transmission of all files into and out of Federal Student Aid Programs including ISIR files, reporting files for reconciliations, and all aspects of loan reporting with COD.
• Assigning tracking requirements; running batch processes for needs analysis, assigning CI’s and need-ranks, budgeting and packaging as required to ensure timely delivery of financial aid.
• Sending and/or ensuring the scheduling of timely student communication including but not limited to compliance related communications such as Right To Cancel, Exit Counseling, Award Notification and Revised Award Notification.
• Assisting the Compliance area with loading and processing of federal aid program reconciliation files
• Maintaining the staff dashboards via Argos.
• Maintaining required dynamic forms used by the Financial Aid Office for various processes.
• Responsible for the set-up and all functions related to New Year Roll each year.
• Responsible for ensuring that the system is set-up to memo and disburse aid as required and in compliance with institutional policy and federal/state regulations.
• Conduct training programs for staff related to system usage and enhancements.
• Assist with the document management system (BDM) for paperless processing
• Manage student access to information (my.stetson portal)
• Lead centralization of financial aid (main campus and College of Law) and develop processes and procedures to be followed across all campuses.
• Create and maintain Argos reports
• Perform other duties, as assigned.

Required Knowledge, Skills, and Abilities: The Assistant Direct-Financial Aid Systems will need:
• Great organization and time management skills.
• Be self-motivated and possess the ability to work independently and take initiative to resolve problems by implementing technological advances to keep the office performing at peak efficiency.
• Be a team player and help the team to understand processes.
• High degree of professionalism and attention to detail.
• Good time management skills to move forward on several projects simultaneously, as needed.
• Ability to analyze data and provide viable solutions and interpret and comply with regulations.
• Ability to maintain confidentiality of records and data.
• Great at communicating and training staff on new processes for which they should be responsible.
• Willing to travel for training purposes.

Required Qualifications:
• A bachelor’s degree or at least two years completed with continued progress toward completion of a baccalaureate degree in Information Technology or another related program of study combined with extensive financial aid experience.
• 2 years progressive experience in higher education financial aid and/or technology/student information systems preferably with Banner.
• Experience with Microsoft Office Suite; Dynamic Forms.

Ideal Candidate Qualifications: The ideal candidate’s qualifications for this role include:
• Proficiency in Banner including Argos reports and Form Fusion.
• Familiar and comfortable with EDConnect and TD Client.
• Knowledge of creating and maintaining forms in Dynamic Forms.
• Understand and be able to create processes using SQL.
• A thorough understanding of all Microsoft Office software programs especially including Word and Excel (including V look-up).

Work Environment: The work environment is standard computer-type office work. The employee may work a hybrid of remote and on-campus work with supervisor approval to ensure the needs of the department are met.

Reports to: This position reports to Director of Financial Aid-Operations.
